Data controller

SK Parit Bakar Tengah is the <strong>data controller</strong> for information processed in this system, under the Personal Data Protection Act 2010 (Act 709) as amended in 2024.

Personal data we collect

Student information (name, MyKid number, date of birth, gender, class, sports house), parent/guardian information (name, phone number, account email), staff service records, and school operational records linked to students: attendance, assessment marks, co-curricular membership and fee payments.

Sensitive personal data

The system also holds <strong>sensitive personal data</strong> as defined by Act 709: discipline records, guidance and counselling sessions, and student welfare and health notes. This data is processed only for student welfare and management, and access is restricted more tightly than ordinary data — counselling sessions are visible only to authorised counsellors and administrators, and every access is logged. MyKid numbers are masked on screen and in print; full display is recorded in the audit log.

Purpose of processing

School administration and statutory education records only: daily attendance, assessment and reporting, fee collection, co-curricular management, student welfare and discipline, and communication with parents/guardians. Data is NOT used for marketing and is NOT sold to any party.

Disclosure

Data is accessible only to authorised school staff according to their role (class teachers see their own class; parents see their own children only). Data may be disclosed to the Ministry of Education or other authorities where required by law.

Security

Access is role-restricted with password login, brute-force protection, and an audit trail of data changes. The system is self-hosted on the school's own server — no third party holds the data.

Retention

Personal data is kept only for as long as required for schooling records. When a student leaves and records are no longer required, the school will delete the data (the system removes all linked records permanently).

Your rights

Parents/guardians may request <strong>access</strong> to or <strong>correction</strong> of their child's personal data, request a full copy (the school can generate a Personal Data Report), request a machine-readable copy to be <strong>ported</strong> to another party, withdraw consent, or limit processing. Requests may be made in writing to the school contact below.

Data breach

Should a personal data breach occur, the school will report it to the Personal Data Protection Commissioner as soon as practicable, as required by the 2024 amendments, and will notify you without undue delay where the breach is likely to cause significant harm.
